How to Manage a Virtual Team

Whether you accept it or not, virtualization is happening. Soon, employees might not even be required to come to the office, and instead will be present through always-on cameras and other tools. Today, we make use of email, chat, video calls and social media. How can we maximize such tools to ensure teamwork and effectiveness? How do you actually manage a virtual team? Here are some tips: Let everybody know that they are part of a team. Because employees will be working away from each other, it can be easier for them to act independently. But if you let them know that they are part of a team working on a single goal, they will be more considerate of time and they can even be more active in collaboration. Create a clear set of objectives. These objectives are what you will achieve as a group. This way, your employees will not think or feel like individual contributors, and can develop a certain sense of loyalty to the team. Use the right technological tools. It is more than worth it to invest in high-speed Internet connections, video and audio conferencing, licensed software for collaboration, and file directories that everyone can access. Create and impose rules. The problem with having a virtual team is that you have a very loose grip on your team. Hence, you need to have a certain set of rules that will ensure good and acceptable work behavior from everyone. You can set hours for when you expect everybody to be online, which meetings are required, and a strict turnaround time for each and every task. Conduct regular face-to-face meetings. These meetings may not necessarily be formal, but can be a simple coffee with your team. Gathering your employees in a casual setting will help foster a certain level of relationship that will help in how they relate with each other, even in a virtual setting. Consider the time differences. If you choose to hire employees from different countries, you might have to adjust accordingly. If you need to conduct a meeting, set it to a time that the majority of your team prefers. Always communicate. Because you are working with a team that is physically absent from each other, you need to make them feel that they are part of a team, and that they are always on the same page.
