Using Google Docs as a Resume Database

Google Docs Resume Database There is no shortage of articles on how to use Boolean search strings to find great candidates online. Today I ll share a tip on how you can quickly save those formatted resumes you find online for future reference to Google Docs. That way you ll start building a resume database of resumes that allows you to quickly search, attached notes with timestamps and even track updated versions over time. All for free in Google Docs so you end up with results that look something like this. You ll notice that in addition to a formatted resume that is searchable using Google search strings, I m also able to easily track my notes (using Google Comments in Docs) that show up on the right of the resume with a timestamp. If you work with a team of recruiters you could also set up a Google Apps account (at a cost of $50/year per user) so everyone on the team could share the candidate database, view comments and recent updates. Adding resumes you find from Boolean searches on Google If you are currently running Boolean searches for resumes on Google and want to quickly add candidate resumes to your Google Docs you can do so easily. Run a Boolean search for resumes that are online already in Word, PDF, RTF or TXT formats already. Adding the filetype:*** operator to your search string will accomplish this easily. (EX: filetype:doc will return Word documents only) Once you have your results, use the Quick View link to open a browser based copu pf the document for review. If you like what you see and want to save this resume for future reference all you need to do is click the Save to Goole Docs button at the top right of your browser window and you re done. There are a few caveats to be aware of if you plan to start capturing resumes in this way. You will have to be logged into your Google or Google Apps account where you want the resumes to be captured. The resumes will remain in the original format (EX: Word or PDF) so you will have to convert them to a Google Docs format if you don t want then to count toward your storage space limits in Google Docs. Adding resumes you ve saved to your hard drive If you save resumes to your hard drive and would like to have them available from any device (computers, smart phones, tablets...) to quickly search and track notes you can accomplish this just as easily. Open Google Docs Click the Upload button and select Files or Folder to upload individual resumes or entire folders of resumes. I recommend setting up your Google Docs account to convert all the files to the Google Docs format. This way Google won t count the storage space toward your storage limit. There are a few caveats to be aware of if you plan to start capturing resumes in this way. Documents converted to the Google Docs format will often loose the original formatting. If you feel it s important to keep that original format then I recommend you spring for the extra storage space which Google offers. If you upload the same document more then once you ll end up with duplicates. However, you can upload newer versions of non-Google Docs formatted documents by right clicking on a file in Google Docs and selecting Add or Manage Versions if you d like.
